General Proceedings for Information Bazaar

General Information

  • The Information Bazaar is divided into 5 regional areas, each with 5 tables for displaying material.

  • The Information Bazaar will be integrated into the overall conference setting and will attract the attention of the whole Forum. It will give NGOs and regional networks the chance to present themselves by displaying information material.

  • Due to space restrictions, you cannot be equipped with your own stand, but you will jointly present their information material within a regional format. The five regional areas will be clearly indicated as such.


Technical Info

  • If you send the information material in advance, it will automatically be displayed on the regional table by the Conference Secretariat.

  • Otherwise, please hand in your material at the Information Desk and indicate which country you come from in order to facilitate the regional attribution.

  • The Information Bazaar opens on 1 September at 01.00 hours p.m. If possible, please hand in your material before that.

  • Max. 3 brochures can be provided by each organisation.

  • Max. 500 copies of each brochure can be brought or sent to Berlin.

  • There is no space provided for posters or give-aways in order to guarantee equal space to all participating organisations.

  • You are responsible for re-filling the information material during the conference. Please check your deliveries regularly.

  • Hosts will assist the bazaar to guarantee a decent appearance. This means, you do not have to staff the stand.


Forwarding Material to Berlin and Back

  • If wanted, you can send your information material to Berlin by post prior to the conference. It can be stored at the conference venue. Technical guidelines for sending see Annex below!

  • Please make sure that your forwarded information material does not arrive earlier than 24 August 2009! Otherwise it cannot be stored.

  • Please pick up your left information material after the conference. Otherwise, all left material will have to be disposed of!

  • The supporting event management agency “MediaCompany” can also manage to return left over material after the conference. Information on the proceedings can be requested at bazaar[at]mediacompany.com. In addition, organisations can contact “MediaCompany” on-site at the conference office. However, organisations asking for support in this matter have to be aware that they will have to cover all costs that come up regarding dispatch, custom duties or shipping costs. These costs have to be covered on-site at the conference.
